Salary Compensation: $17.60/hr

The Black Engineers of Canada team is seeking a highly motivated, smart and energetic individual to serve as our summer student Administrative Assistant.
Responsibilities
The Administrative Assistant role will focus on administration support of the general administration of the BEC organization.
Reporting to the President and Chair of the Board of Directors, the person in this position will have considerable opportunity for growth and learning in the areas of non-profit organizational management, advocacy, and administrative support.
This person will support internal operational administrative functions. We are a small, energetic team with an ever-growing list of exciting opportunities, projects, and programs – which means there’s never a dull moment!
Executive Support (20%)
Manage President’s and the Director of Partnership's calendar and schedule appointments
Reconcile BEC related expenses
Prepare materials for meetings as necessary
Respond to general inquiries from BEC generic email
Administration (40%)
Support all Programs committee with Marketing their programs, flyers creation, social media promotions and release.
Help the Director of Partnership close the gap in outreach to potential partners.
Respond to general inquiries from BEC info email (answer questions, redirect to right person, etc)
Coordination and management of one major fundraising event
Support Partnership Director with projects as needed
Maintain inventory and purchasing of office supplies and coordinate maintenance if required
Assist with other projects as assigned which may include filing, copying, bulk mailing, responding to phone inquiries, Excel spreadsheet preparation, office management tasks, coordinating with staff in other offices, etc.
Research for grants and subsidies for BEC organization
Grant writing and coordination of application submissions
Membership Administration (20%)
Create a marketing initiative to bridge the Gaps between actual Black Engineers in Canada and registered members
Maintain and update membership database and contribute to project design to improve database system(CRM)
Prepare written and email correspondence on behalf of BEC Membership Manager
Prepare materials for Membership Manager as necessary
Process new membership and volunteers
Write short informational articles for newsletter
Support Membership Manager with projects as needed
Update job board and process job opportunities and payments
Requirements
Qualifications:
Commitment to the mission of the Black Engineers of Canada
Strong customer-service orientation
Strong sense of accountability to duties and responsibilities
Great time management skills, particularly in a fast paced, dynamic environment
Some familiarity with the non-profit sector (as volunteer, employee, board member, client, constituent, etc.)
Ability to communicate professionally and effectively in English (verbal and written, online and in social media)
Maintain high professional ethical standards
Ability to prioritize and manage multiple projects simultaneously
Take pride in responding quickly to all inquiries and requests
Impeccable follow-through skills
Intermediate to advanced skills with Google Business Suite, including Google Doc, Spreadsheet, Slide, Canva, Memberpress, website update
Education:
Enrolled in a Degree program at a College or University and is returning to school in September 2026.
