Founded in 1945, San Diego Civic Youth Ballet (SDYCB) has been the resident ballet school in Balboa Park for more than 75 years. We offer affordable, year-round, high-quality classes to more than 400 dancers ages 4 to 18 in the beautiful Casa del Prado, provide offsite classes to an additional 400 elementary school students throughout the city, and reach students with disabilities through our “Ballet for Me!” classes, and offer a special class for adults. Each year, SDCYB students grace the stage in three major productions that draw well over 20,000 patrons. Our students also perform at special events throughout the community.

SDCYB is seeking an administrative assistant who brings enthusiasm for customer service-oriented work, including face-to-face and phone interaction with various constituents. This individual will report to the Executive Director and will work in a fun and respectful, kid-friendly environment. The Administrative Assistant will provide administrative and operational support and must have strong written and verbal communication skills and display excellent judgment and professionalism. The ideal candidate is patient, flexible, and has a sense of humor. If you like to work with people and information and love to organize and create systems and processes, you will thrive in this position. 

This position averages 25-30 hours per week, including evenings and weekends. There is an opportunity for growth in responsibility and a full-time position.



  • Act as primary front desk reception (answering phones, greeting students and parents, handling deliveries).
  • Register students for classes and process tuition payments.
  • Accurately process ticket orders and document payment methods in the database; handle cash drawer and make change when needed.
  • Efficiently and courteously answers questions concerning prices, seating, and related Box Office questions.
  • Responds promptly to customer service needs. Elevates customer service needs when appropriate to the Executive Director and/or the Artistic Director.
  • Process data collection and summary reports from classes and productions.
  • Troubleshoot online registration and payment issues.
  • Maintain office operations - including printing and photocopying materials; compiling packets; maintaining filing systems; maintaining office forms, records, and mailing lists
  • Stock and maintain office materials and supplies.
  • Keep shared office space neat and sanitized, with empty waste bins. 
  • Ensures all operations are conducted with the safety of staff and program participants as first priority. 
  • Additional office duties as assigned.


  • Minimum two years of exceptional customer service experience.
  • Desire to work in a family/child friendly environment.
  • Demonstrated strong written and oral communication skills.
  • Demonstrated ability to work well independently and in a team environment with staff and volunteers.
  • Ability to maintain excellent customer service skills in a high-volume environment.
  • Detail-oriented and proven ability to manage multiple priorities and meet deadlines. 
  • Possess a sense of humor and a growth mindset.
  • Adept at problem-solving and critical thinking.
  • Must be able to lift a minimum of 30 pounds.
  • Knowledge of general office machines and telephone systems.
  • Computer literate with Microsoft Office, Google Suite, and customer relationship management software. Experience with QuickBooks preferred. 
  • Ability to work a flexible schedule, M-F evenings and weekends required.
  • Non-profit and/or dance school experience is strongly preferred. 
  • Bilingual in Spanish preferred.
